Photocopying/Reproduction Policy and Fees


Photocopying Policy

All users must fill out a letter of indemnification to obtain copies/reproductions. The form is available in our reading room to local patrons and for mail reference, download the form here. If you are unable to use pdf files, contact us and we will mail you the form.

  1. Permission to photocopy is handled on an item-by-item basis. For purposes of preservation, fragile and particularly rare items will not be photocopied. To protect bound volumes, copying will only be done one page per copy.
  2. Photocopying will be done by Special Collections staff only, as time permits. No requests will be completed within 15 minutes of closing.
  3. No more than 10% of any printed item will be copied. Additional restrictions may apply to some materials, based upon copyright law and prior donor agreements.
  4. No more than 10% or 100 pages, whichever is less, will be copied from any manuscript collection. Additional restrictions may apply to some materials, based upon copyright law and prior donor agreements.
  5. For in-person requests, copy cards are required. Charges will be $.10 per page, with a 100 page per day limit per patron.
  6. For other requests (phone, mail, email), charges will be $.25 per page, plus a $5.00 minimum mailing and handling charge, with a 100 page limit per request. Charges to fax information will be $5.00 first page, $1.00 each additional page, with a 10 page limit. Payment may be made by check or money order payable to the University of California Regents
  7. Permission to photocopy does not constitute permission to publish. See "Locating Copyright Holders" for further copyright and publication information.
  8. Any questions about photocopying policy should be referred to the Head of Special Collections.
