Who is eligible to make interlibrary loan requests?

UCSB faculty, staff and currently enrolled students. Community patrons and UC alumni should consult with their local public library. [top]

How much does an interlibrary loan cost?

The average cost spent by a research library to acquire a research item through interlibrary loan was $17.50 in 2003. The UCSB Library does not charge borrowing faculty, staff, and currently enrolled students at this time. Please request only those materials necessary for your research, retrieve items promptly after being notified of their receipt, and return materials on or before the due date. [top]

How to request an interlibrary loan (ILL)?

The fastest and most accurate method for UCSB users to borrow items from other libraries is to use the "Request" feature available in:

What is "CDL Request"?

CDL Request is a program that allows authenticated users to place requests directly from the Melvyl catalog or, via the UC-eLinks function, directly from various article databases.   For more information about CDL Request, see:

Can I see what I have requested?

Yes. You can view and manage your active ILL requests through your ILL account: ( My ILL Requests) Detailed instructions in its use are found at show me how.

My ILL Request account shows "Received"...

This means that the item has arrived in the Interlibrary Loan Office and is subject to the following conditions:

Books, Dissertations, Bound Journals, Videos, Sound Recordings, etc...

  • If the record in My ILL Request contains a "Date Due" and the record's status shows "Received" the item may be picked up at the Davidson Library Circulation Desk. After an item is received and fully processed for your use by Interlibrary Loan Staff, you will receive an email notification alerting you to its arrival. If you have not received your email notification, you may still pick the item up at the Davidson Library Circulation Desk. (Email notifications are sent via a separate system in a batch process occuring hours after an item has been received in the Interlibrary Loan Office.)

  • If the record in My ILL Request contains the phrase "Library Use Only" then this item may only be used, as required by the supplying library, in the Davidson Library Special Collections Department. Special Collections has limited resources for NON-book materials and you are strongly encouraged to call (805-893-3062) to make prior arrangements.   • Journal Articles / Photocopies

    If the record in My ILL Request is a journal article request and does Not contain a "Date Due" it is subject to the following conditions:

  • The journal article has already been sent directly to you in electronic format, likely posted to the Web. You would have received instructions via email for retrieving the document.

  • The journal article is a photocopy and has either been sent directly to your campus department in your name via UCSB's Campus Mail Delivery Service OR placed at the Davidson Library's Circulation Desk for your retrieval. If the item is placed at the Circulation Desk you will receive an email notification alerting you to its availability. Photocopies sent through the Campus Mail typically arrive at their destination within 2-3 working days, excluding weekends and holidays, after being sent from the Davidson Library. The Circulation Desk's hours of operation may be found under "Library Information / Hours" at http://www.library.ucsb.edu/docs/hours.html

    What if UCSB owns the item?

    An ILL request may be placed for an UCSB-owned item, provided the item is currently checked out to another patron, is declared lost or missing, and is available elsewhere in the UC system. If the item is not available for loan within the UC system, the patron will be directed to place a recall for the UCSB copy. To borrow a circulating copy from another UC library for an item located in UCSB Special Collections, use the Manual Request Form.  Materials that are available in the Reserve Book Service may not be secondarily requested through the ILL service.  Instead, the request will be returned to the patron.  [top]

    Book Loans

    When an item is borrowed for your use, the lending library will determine the length of the loan period, indicate whether that period may be extended by a renewal, and/or stipulate any restrictions on the use of the book. For example, when lending a rare or valuable book, a library may specify that it must be used only in the borrowing library building or that it may not be photocopied.

    Journals

    Rarely do libraries lend journals. Most libraries will provide photocopies or electronic copies of journal articles rather than send the issue. A photocopy of the table of contents from a single issue may be obtained, and individual articles subsequently requested. If a photocopy is sent it then becomes the property of the requesting individual. The UCSB Library reserves the right to determine if a loan or a photocopy should be requested.

    Video and Sound Recordings

    Video and sound recordings (VHS, DVD's, audio tapes, CD's, LP's, etc...) are often the most difficult items to obtain via Interlibrary Loan. These material types are frequently marked as "in house" use for lending institutions' local users, and are therefore barred from ILL transactions. If loaned, a library may specify that the material be used only in the borrowing library building. If a requested video or sound recording is desired for classroom use, it is important to alert Interlibrary Loan staff about this condition. Please refrain from requesting popular or current movies or music that can be easily obtained from local rental/vendor businesses and public libraries.

    How Long Does It Take?

    75% of all materials obtained from within the UC system of libraries arrives within 3-5 working days. The fastest method for requesting materials is via CDL Request. Materials not owned within the UC system that are requested from elsewhere take an appreciably longer period of time to arrive.  In some instances, materials may not be available.  This is especially true for rare and unique items.  If items are requested during peak activity periods such as mid-terms and finals, processing time will be delayed.     Notification of Materials' Arrival

    We will inform you by e-mail about the arrival of ILL materials to be retrieved from or used within the UCSB Davidson Library.  Therefore, it is very important that an accurate e-mail address is included with each request.  For those without e-mail capability, please provide a current phone number and address.  Inquiries about the status of a request may be made to the ILL Office via e-mail ILL@library.ucsb.edu or phone (893-3436).     Picking Up Materials

    Materials are held for pickup at the Circulation Desk of the Davidson Library. Materials must be picked up by the person making the request or their proxy. You must present your UCSB Library Borrowers card to pickup the material. For materials delivered via the Web, borrowers will be emailed with instructions on how to retrieve the item. [top]

    Returns & Renewals

    Materials borrowed through Interlibrary Loan may be returned to any of the book returns or the Circulation Desks in either the Davidson or Arts Library.  ILL due dates and other restrictions (library use only, no photocopying, no renewal, etc.) are set by the lending library and must be adhered to.  The date due and lending restrictions are noted on the blue sleeve wrapped around each item.

    To ensure that ILL materials are renewed properly, please submit renewal requests 3-7 days prior to due date.  Renewals may be requested at http://www.library.ucsb.edu/forms/renewill.html, e-mailed to illalert@library.ucsb.edu or from the Request Details view of the item found in your UCSB ILL Request account http://ucill.cdlib.org:8082/zportal.

    You may also request renewals for ILL material by replying to the automated courtesy e-mail notices generated by the UCSB Libraries' circulation system. Instructions for doing so are included with these notices. If you are not registered for e-mail notification, you may do so by following the instructions outlited at the following URL: http://www.library.ucsb.edu/depts/access/enotices.html.

    What If My ILL Item is Overdue?

    If your ILL item becomes overdue please return it, or submit a renewal request as soon as possible if you want to keep it. Severly overdue items are ineligible for renewal. Patrons who fail to return or submit renewal requests for their interlibrary loan items on or before the due date will have their borrowing privileges automatically blocked until the material is returned or renewed.

    The block covers all new ILL requests and materials loaned through the Davidson Library Circulation Desk, Arts Library Circulation Desk and Reserve Book Service. To preserve favorable borrowing relationships with lending libraries, renewal requests should be submitted on or before the due date, preferably 3-7 days prior to the date due. Items borrowed via Interlibrary Loan are charged an initial replacement cost of $125 plus a non-refundable handling charge of $15 when an item becomes thirty (30) days overdue. After the initial replacement charge has been made it may be amended upward to reflect the item's actual value as determined by the lending library. [top]

    Borrowing Standards

    Your adherence to the borrowing regulations specified by the lending library are critical to the continued use of that institution's resources by this university.

    The UCSB Library subscribes to the National Interlibrary Loan Code of the American Library Association as well as to regional agreements. We also adhere strictly to copyright law.  [top]

    Courtesy Returns

    If you have directly borrowed material from other University of California libraries (i.e. checked out by you from their library, not obtained through UCSB ILL), then you may drop this material off at the Interlibrary Loan office for courtesy return to the originating campus. DO NOT drop this material off at the Davidson or Arts Libraries book returns. Material must be dropped off during regular office hours. The ILL office is open Monday-Friday, 8 a.m. to 5 p.m. You will be required to fill out a courtesy return slip for each item being returned. Courtesy returns are included in our U.C. Libraries shipments, however no records are retained to track their progress or insure their safe return. The UCSB Interlibrary Loan Office assumes no responsibility for the return of materials which were not obtained through the UCSB Interlibrary Loan Service, nor can we guarantee the return of this material by the lender's due date. Items directly borrowed from libraries not associated with the University of California will not be accepted for courtesy return.

    UCSB Faculty Document Delivery Service, a division of ILL

    The UCSB Faculty Document Delivery Service (DDS) is a convenient method available to UCSB faculty for requesting materials from the UCSB Davidson Library collection.  Book requests will be sent to a faculty member's campus department. Article requests will be delivered either as a photocopy sent to the campus department, or scanned and posted to the Web. A fee, as noted below, is associated with photocopies/scans of articles and a departmental recharge number is necessary for each request. See your UCSB department's administrative assistant for establishing a departmental recharge account. UCSB recharge accounts resemble the following format: 8 - ######-#####-#.

    • Who is eligible to use DDS?
      This service is for UCSB faculty requesting materials to be delivered to UCSB campus addresses only.  (Proxies, temporary academics, doctoral candidates, and others are ineligible for DDS.)
    • Submitting DDS Requests
      DDS requests may be submitted by Melvyl Request,UC-eLinks, or via the blank UCSB Interlibrary Loan Web forms.  For materials requested via CDL, please select "UCSB Document Delivery Service" under the "Campus Document Delivery Service".  UCSB materials, requested via DDS, will be paged, checked out to the faculty member and delivered through campus mail to UCSB campus addresses only.
    • Fees
      All DDS requests for photocopies of articles owned by UCSB must include a departmental recharge account number.

      • If you are using Request via Melvyl or UC-eLinks include it in the"Notes" field
      • If you are using a blank Interlibrary Loan form, include it in the "Other Number" field.
      • If you are using the ILL Manual form, include it in the "Other Information" field.


      Fee Structure ($5.00 minimum per article)
      All DDS requests for photocopies of articles owned by UCSB must include a departmental recharge account number.

      • From printed material: $5.00 per article up to 15 pages or exposures.
      $0.25 per additional exposure. (e.g., an eighteen page article requiring eighteen exposures will cost $5.75.)

      • From microform material: $5.00 minimum charge per article plus $0.25 per exposure. (e.g.,a three exposure article will cost $5.75.)

      Color copies are not currently available. Copying of materials is based on compliance with copyright law (Title 17, U.S. Code).
