Instructions/Procedures for Format Review and (No) Serials Review

Format Review

Objective: Cancel as many print titles as possible where a reliable online equivalent is also available. Review will include both titles in CDL packages and locally purchased titles. CDL packages included this year are: ACS, AIP, AIPMAIK, AMS, BioOne, IEEE, Kluwer, Liebert, Lippincott, Nature, Natl Research Council of Canada, Oxford University Press, Royal Society, Society of Expl Geophysics, Wiley. Titles kept in print from CDL packages reviewed last year will reappear on your lists if they apply (Academic, Cambridge, Elsevier, Project Muse, etc.)-there were only about 60 titles kept in print, so this will apply to only a few of us.

These include titles from several CDL packages and the titles from last year's format review that we kept in print.

Mid-March to April 10: Collection manager internal review

  1. Each collection manager should review the list(s) for their fund on the l: to identify any titles that should not be considered for faculty review. Keep in mind that the objective is to eliminate as much duplication as possible, so the maximum number of titles should be made available for faculty comment.
  2. Review your serials list for any other potential dual formats where stable online versions are available. (e.g. law reviews on Lexis Nexis Academic--*not* newspapers, which are not cover to cover or other aggregator databases). Add any titles to your fund list on the l: drive. Serials lists are available at l:serials list.mar (Open in Excel, and open as All Files. Before opening files, read "Serials review instructions.doc")
  3. Review appropriate SREFE or SSCIE lists for dual formats in your subject field and make recommendations to that collection manager.
  4. Review titles as appropriate in collection groups.

April 12 to April 16: finalize public web site

1. Public web site with titles under review will be finalized. Web site will also include a letter from Sarah to faculty.

April 19- May 20: Faculty review

  1. Faculty will receive a letter from Sarah explaining this year's review, the process, and the web site.
  2. Collection managers can follow-up and send notes to faculty??
  3. Faculty comments will be collected by Lucia.

May 24 - June 15: Finalizing cancellation list

Serials Review

Because we do not yet know the budget for next fiscal year, it was determined at Collection Coordinators that we will not do a faculty serials review this year-there are too many uncertainties about whether or not we would be able to maintain subscriptions if there are budget problems, so we don't want to build up faculty expectations.

You may choose to look at the titles that are not covered by format review to evaluate current subscriptions, but we will not be giving lists to faculty to review. Please talk to your collection coordinator if you have questions, and we can discuss this at the next All Collection Managers Meeting in April.
